Who we are

The Alacrity Foundation of B.C., operating as Alacrity Canada (“Alacrity Canada”, “we”, “us”), is a non-profit society registered under the BC Societies Act.

This policy explains how we collect, use, share and protect personal information through our website, www.alacritycanada.com, and through our programs and events.

Information we collect and how we use it

Enquiries. Our contact form asks for your name, email address and message. We use this information to respond to you. The form uses Google reCAPTCHA to help prevent spam, which sends information about your device and your use of the page to Google.

Newsletter. Our newsletter signup is managed through Mailchimp. It asks for your email address and, optionally, your first and last name. We use this information to send news about our programs, events and opportunities. You can unsubscribe using the link in our emails or by contacting us.

Program applications and participation. We collect information relevant to the program you apply to or participate in. This may include your contact details, information about your company and information needed to assess eligibility. Some applications use online forms hosted by Typeform. We use this information to assess applications, communicate with you and deliver the program.

Events. Event registration is handled through Luma. Luma collects the details you enter when you register, and we use them to manage the event and contact you about it and other events that may be relevant to you. Luma’s privacy policy also applies.

Careers. Job postings and applications are hosted through BambooHR. BambooHR collects the information you provide when you apply, and we use it to review your application, assess your suitability for the role and communicate with you about the hiring process. BambooHR’s privacy policy also applies.

Website use. When you visit our website, some information is collected automatically through the tools described below. This may include your IP address, browser and device type, approximate location, pages viewed, referring website and interactions with our pages. We use this information to operate and secure the website, understand how it is used, and measure and improve our outreach.

Cookies, analytics and advertising

Our website uses cookies, scripts and similar technologies. The main tools are:

• Google Analytics: to measure website visits and interactions so we can better understand how people use our website.
• Meta Pixel and LinkedIn Insight Tag: to measure advertising performance, build advertising audiences and help show ads to people who have visited our website.
• Google reCAPTCHA: to help protect our contact form from spam and abuse.
• FlowAppz: to display our cookie banner and record visitors' cookie preferences.

Our website displays a cookie banner with options to accept or decline cookies. You can also block or delete cookies through your browser settings. Google, Meta and LinkedIn offer tools to manage advertising preferences. Google also offers a browser add-on to opt out of Google Analytics.

Google Analytics retention. Our user-level and event-level retention settings are 14 months. New activity can restart the retention period for a returning visitor’s identifier. Standard aggregated reports are not governed by this setting and may be kept longer. Google, Meta and LinkedIn may also use information collected through these tools under their own terms and privacy policies.

How we share information

Service providers. We use outside providers to host our website and forms, send newsletters, manage applications and event registrations, and measure website use. Webflow hosts our website and processes contact form submissions. Other main providers are named in this policy. We remain responsible for personal information transferred to service providers to process for us.

Advertising platforms. Meta and LinkedIn receive information about website visits through the tools described above.

Government bodies. We may share relevant personal information with government bodies where needed to administer a program or meet its funding and reporting requirements.

When required or permitted by law. We may disclose personal information when the law requires or allows it.

We may share combined statistics about our programs and impact that do not identify individuals.

Information stored outside Canada

Our service providers may store or process personal information outside Canada, including in the United States. Information processed outside Canada is subject to the laws of that country, which may allow access by courts, law enforcement or national security authorities.

Consent and choices

We collect, use and share personal information with your consent, except where the law allows otherwise. When you submit information for an application, enquiry, subscription or registration, we use it for the purposes explained at the point of collection and in this policy. We do not require consent beyond what is necessary to provide a program or service.

You can withdraw or change your consent by contacting us, subject to legal or contractual limits and reasonable notice. We will explain any consequences. For example, withdrawing consent may prevent us from continuing to assess an application.

How long we keep information

We keep personal information for as long as needed for the purposes for which it was collected, including applicable legal and business requirements.

• Enquiries are retained as needed to respond and maintain a record of our communication.
• Newsletter information is retained while you are subscribed. After you unsubscribe, we may retain a record of your request to respect your preferences.
• Information used to make a decision that directly affects you, such as a program application decision, is retained for at least one year after the decision.

When personal information is no longer needed, we securely destroy it or remove the details that identify you.

How we protect information

We protect personal information in our custody or control through reasonable security safeguards against unauthorized access, collection, use, disclosure, copying, modification or disposal.

Your rights

You can request access to the personal information we hold about you, an explanation of how it has been used and information about whom it has been disclosed to. You can also request corrections to inaccurate or incomplete information.

Send your request in writing to the contact below. If we cannot provide some or all of the requested information, we will explain why and how you can request a review.
